Position Summary:
The Billing Supervisor - National Accounts at Marmic Fire & Safety is responsible for overseeing the billing function for national accounts, including all associated staff. This role ensures the development and implementation of policies and procedures for timely and accurate billing. The supervisor will manage billing operations, resolve discrepancies, and improve processes to maintain accurate accounts receivables and enhance financial performance.
Core Responsibilities:
- Supervisory Responsibilities:
- Lead and manage a team of billing specialists, providing guidance, training, and support to ensure efficient operations.
- Develop and implement billing policies and procedures to ensure accuracy and timeliness in billing for national accounts.
- Foster a collaborative team environment that values expertise and continuous improvement.
- Billing Management:
- Oversee the investigation and resolution of billing discrepancies and errors, ensuring prompt and accurate resolution.
- Ensure all billing entries are accurately and timely entered into the ERP system.
- Troubleshoot billing issues, working with accounts receivable to monitor controls and streamline processes.
- Process Improvement:
- Continuously improve billing and collections processes, focusing on maintaining current and accurate accounts receivables and effective invoicing and payment applications.
- Lead efforts to reduce risk exposure and days sales outstanding (DSO).
- Manage bad debt reserves, review past dues, monitor trends, and handle credit holds and requests for credit lines.
- Administrative Duties:
- Process liens, lien waivers, and bankruptcies, and manage customer accounts sent to collections.
- Oversee the transition of acquired receivables and businesses into Marmic, assessing risks and handling open deductions and credits.
- Ensure that standard operating procedures (SOPs) are in place and that the team is trained and knowledgeable in these processes.
- Reporting and Analysis:
- Review and analyze month-end reports, including aging trends, status on top accounts, comparative analysis, and roll forwards.
- Monitor and report on billing metrics, making recommendations for improvements as needed.

Minimum Qualifications:
- 5+ years of experience in a billing function or related role.
- Proficient in Microsoft Excel and other reporting/analysis tools.
- Strong communication skills with demonstrated success in leading teams and working cross-functionally.
- Ability to manage multiple commitments and time-sensitive priorities in a fast-paced environment.
- Sound judgment with exceptional problem-solving skills and the ability to work well under pressure.
- Process-oriented mindset with a focus on continuous improvement.
Preferred Qualifications:
- Bachelor’s degree in business, accounting, finance, or a related field preferred.
- Experience with ERP systems and billing software.
- Knowledge of industry-specific billing practices and regulations.
