Position Summary:
The Billing Specialist - Client Services at Marmic Fire & Safety is responsible for the processing, data entry, and accurate billing of fire protection service orders for National Account Customers and their locations. This role ensures that each work order is invoiced with high detail and precision. Additionally, the Billing Specialist is tasked with managing overdue payables and resolving any billing discrepancies to maintain Accounts Receivable reporting metrics.
Core Responsibilities:
- Billing Management:
- Post job processing of completed work orders in Marmic’s software portals.
- Handle data entry, paperwork submission, and invoicing through customer-specific software portals.
- Produce line-item billing with a high level of accuracy and in various customer-requested formats.
- Discrepancy Resolution:
- Document and resolve pricing questions or concerns, coordinating with Marmic branches or customers as needed.
- Address and resolve any discrepancies such as short pays, overpayments, or other payment issues.
- Accounts Receivable Oversight:
- Monitor and manage customer Accounts Receivable reports to ensure prompt and accurate payments.
- Work with Marmic National Account CSR’s and Department Managers to ensure customer pricing sheets are current and accurate.
- Documentation and Reporting:
- Ensure proper paperwork and documentation are provided for each service order.
- Maintain and review customer scopes of work and job/customer-specific pricing.
- Support the successful closing of jobs and accurate job progression at month-end.
- Customer and Partner Relations:
- Maintain professional and effective relationships with Branch and Affiliate Partners.
- Meet or exceed customer service metrics (KPI’s or SLA’s) and support branches and affiliates in their billing needs.

Minimum Qualifications:
- High School Diploma or equivalent required.
- Prior experience in billing or accounts receivable preferred.
- Proficient in Microsoft Excel, Google Sheets, Microsoft Word, and Google Docs.
- Strong attention to detail and results-driven approach.
- Effective communication skills, both verbal and written.
- Ability to resolve discrepancies and work under pressure in a high-volume environment.
Preferred Qualifications:
- Proven experience as a Billing Specialist.
- Experience in handling customer and partner relationships effectively.
- High degree of attention to detail and patience.
- Capability to thrive in a fast-paced, high-volume setting.
- Ability to speak and write English; fluency in Spanish preferred.
